By accessing or using Keeploopd ("the Service"), you agree to these Terms. If you are using the Service on behalf of an organization, you represent that you have authority to bind that organization to these Terms.2. The Service
Keeploopd is an email intelligence add-in for Microsoft Outlook that provides real-time thread awareness features including co-draft detection, thread intelligence, and recipient tracking. The Service requires a valid Microsoft 365 account and a licensed Keeploopd subscription.3. Licensing
Access to Keeploopd is granted on a per-organization basis using your Microsoft 365 Azure Tenant ID. Your subscription grants your organization a non-exclusive, non-transferable license to use the Service during the subscription period. Licenses may not be shared or transferred between organizations.4. Acceptable use
You agree not to misuse the Service. Prohibited actions include attempting to reverse-engineer the Service, using the Service to harm others, circumventing licensing controls, or using the Service in violation of applicable laws or regulations.5. Payment and cancellation
Subscription fees are billed in advance on a monthly or annual basis. All fees are non-refundable except as required by law. You may cancel your subscription at any time. Cancellation takes effect at the end of the current billing period.6. Intellectual property
Keeploopd and all related software, designs, and documentation are owned by Keeploopd LLC. Nothing in these Terms transfers any intellectual property rights to you. You retain ownership of all data you bring to the Service.7. Disclaimer of warranties
The Service is provided "as is" without warranties of any kind, express or implied. Keeploopd LLC does not warrant that the Service will be uninterrupted, error-free, or meet your specific requirements.8. Limitation of liability
To the maximum extent permitted by law, Keeploopd LLC shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service.9. Governing law
These Terms are governed by the laws of the State of North Carolina, USA. Any disputes shall be resolved in the courts of North Carolina.10. Changes to these Terms
We may update these Terms from time to time. We will notify you of material changes by email. Continued use of the Service after changes constitutes acceptance of the updated Terms.11. Contact

Privacy policy

Keeploopd collects only what is necessary to provide the Service. We collect email thread metadata — including sender and recipient email addresses, timestamps, and thread identifiers — to power thread awareness features. We do not read, store, or transmit the body content of any email.2. What we do not collect
We do not collect email body content, attachments, calendar data, or any information beyond what is required to operate the Service. We do not collect personal information beyond your organization's Microsoft 365 Tenant ID and the email metadata described above.3. How we use your data
Data collected is used solely to provide the Service — specifically to detect active drafters in a thread, surface thread participants, identify open action items from external communications, and flag recipient changes. We do not use your data for advertising, profiling, or any purpose beyond delivering the Service.4. AI and third-party processing
Keeploopd uses the Anthropic Claude API to power thread intelligence features. Only email metadata — not email content — is sent to Anthropic's API for processing. Anthropic does not use API data to train its models. Data shared with Anthropic is governed by Anthropic's API terms of service.5. Data storage and security
Thread metadata and analysis results are stored on secure infrastructure. All data is encrypted in transit using HTTPS and encrypted at rest. We implement industry-standard security controls to protect your data from unauthorized access.6. Data retention
Thread analysis results are cached for up to one hour to reduce API calls and improve performance. Cached data is automatically deleted after the retention period. We do not retain email metadata beyond what is necessary to operate the Service.7. Data sharing
We do not sell, rent, or share your data with third parties for their own purposes. We may share data with service providers who help us operate the Service, subject to confidentiality obligations. We may disclose data if required by law.8. External communications only
Thread intelligence features — including AI analysis of open questions and action items — apply exclusively to email threads involving external domain communications. Internal emails between members of your organization are never analyzed by Keeploopd's AI features.9. Your rights
